“Digitizing spare parts” sounds abstract until you stand in front of a rack. In practice it means one thing: every physical part on that rack becomes a record with a Brand, an MPN (manufacturer part number), a serial number where there is one, the key specs from the nameplate, a photo, a quantity, a location, a condition and a price. With that record a part can be counted, found, imported into an ERP, put in a catalog and sold. Without it, it is “misc automation parts, one pallet”.

Why spare parts data is still on paper and in heads
Most storerooms and surplus warehouses did not choose to stay analog. The alternative was too slow. The symptoms are the same everywhere:
- “Misc” parts. Items booked as “sensor” or “drive, Siemens” with no MPN. They cannot be counted against a bill of materials, matched to a purchase order or listed for sale.
- Duplicates. The same bearing exists as “Bearing-Radial-8mm” in one system and “8mm Radial Ball Bearing” in another. Fragmented data hides what is already on the shelf, so it gets bought again.
- No photo proof. A count without a picture per item cannot be audited. When finance asks how a value was set, or a buyer disputes a part’s condition, there is nothing to show.
- Tribal knowledge. The one person who knows the unlabeled box on rack C holds spare encoders for the packaging line is the one about to retire.
Naming drift compounds all of this. One technician writes “TI”, another “Titanium”, a third “Ti.”; units are inches in one row, millimeters in the next and missing in a third. Every variation is a duplicate waiting to be ordered again.
Digitize spare parts management
For a plant storeroom or MRO warehouse, the goal of digitization is a master list the ERP or CMMS can trust. That comes down to five things.
Intake at the shelf, not at the desk. The fastest way to lose data is to carry it. Capture the record where the part is: photograph the nameplate, get the fields, add quantity and location, save. Insist on a Brand and MPN for every row, or an explicit “unidentified” flag with a photo so the row can be completed later.
Use the same columns for every part. Decide the field list once (Brand, MPN, Designation code, Serial, Description, Specs, Quantity, Unit, Location, Condition, Price, Photo) and do not let it drift per person or per rack. Import into the ERP or CMMS in batches you can validate. Export CSV or XLSX and load it into SAP, Odoo, Dynamics 365, IBM Maximo or whatever you run. Keep an audit trail. The nameplate photo on each row is the audit trail. It answers “who decided this was a 6205-ZZ and why” without a meeting, and lets the record be re-checked years later when the person who scanned it is gone.
Once the master list is clean, the ERP can do what it is good at: reorder points, ABC analysis, obsolescence flags and demand forecasting. None of that works on “misc” rows, which is why intake comes first.
Digitize spare parts catalogs
A catalog is a management list with the customer-facing fields filled in. With consistent columns and a Brand and MPN per row, building the catalog from physical stock is mostly enrichment.
Start from the identified MPN. Everything else hangs off it. Get the title format right and keep it. A predictable title such as “Brand MPN Product type, key spec” is what buyers and search engines match on. One clean photo per item. A photo taken on the warehouse floor has a pallet, a shadow and half a forklift in it. Digitize spare parts sales
Sales digitization is the catalog plus a price and a channel. The part is already identified, enriched and photographed; what is left is what it is worth and where to put it.
Check the market before you set a price. Surplus is either written off too cheaply or kept on the books at a price nobody will pay. Best practices for digitizing surplus and legacy stock
Surplus is the hardest case: there is no purchase order to start from, the plates are worn and nobody remembers what the parts were for. These practices come from stock takes that finished rather than stalled.
Clean and standardize as you capture, not after. Deciding later whether “SS” and “Stainless Steel” are the same thing costs more than deciding once at intake. Agree the abbreviations, units and field list before the first rack. As Emily Williams, Vice President of Product Management at Syniti, puts it: “Assigning a name based on brand, model, make, manufacturer and size - always in that order - is one way to standardize the entry of items.”
Dedupe by serialized MPN. The MPN identifies the product; the serial identifies the unit. Same MPN, different serials: two parts. Same MPN, same serial: one part scanned twice. Sort the export by MPN then serial before import and the duplicates line up.
Validate before ERP import, with a human on the ambiguous cases. Automated matching gets most of the way there, but whether “6205-ZZ SKF” and “Ball Bearing 25mm” are the same part is a call a reviewer should confirm before consolidating. Keep that review step; it is cheap compared to a wrong merge in the ERP.
One photo per item, no exceptions. Even for a part with no readable plate, add the row with a photo and whatever you know. The photo makes the row auditable and lets someone identify the part later without walking back to the rack.
Batch by rack, not by category. Walk rack A end to end, then rack B. Categorizing while you walk means walking twice. Location is captured as a side effect and the stock take can be paused and resumed at a known point.
Define the condition scale before you start. “New in box”, “new surplus”, “used, tested”, “used, untested”, “for parts” or whatever fits your business. Five values, agreed in advance, applied at the shelf. It sets the price band and stops the condition being re-argued at sale time.

Plan for the write-off. A stock take always surfaces obsolete stock. That is not a failure of the digitization; it is the reason to do it. An identified, priced part can be sold or scrapped on purpose instead of sitting on the books.

A realistic plan for a first stock take, whether it is a storeroom, a bought-out warehouse or a decommissioned line.
- Fix the field list and the condition scale. Brand, MPN, Designation code, Serial, Specs, Quantity, Location, Condition, Price, Photo. Write the condition values down. Half a day.
- Pick a pilot rack or SKU family. One rack, a few hundred parts, enough variety to find problems. Do not start with the whole warehouse.
- Walk and photograph. One nameplate photo per part, plus a product photo where the part will be sold. Review the extracted fields, add quantity, location and condition, save. Budget about 40 seconds per part for photo, review and save, against 10 to 20 minutes when the same data is read, typed and priced by hand; a team of two typically covers several hundred parts in a day.
